This is a pilot-stage document and will be reviewed and updated by our legal and compliance team as Record moves toward general availability. It is not a substitute for legal advice. 1. Introduction
Record is an AI-powered skill verification infrastructure. We help organizations verify job-related skills before making hiring or workforce decisions. This policy describes how we handle personal information belonging to Candidates who complete a verification, and to Enterprise Customers who use our platform. 2. Scope of this Privacy Policy
This policy applies to everyone who interacts with Record, including:
- Candidates invited by an organization to complete a skill verification
- Recruiters, admins, and other users at Enterprise Customers
- Visitors to Record’s website and dashboard
We collect information in three broad categories: information from Candidates, information from Enterprise Customers, and information collected automatically through use of the platform. Each is described below. 4. Information Collected from Candidates
When a Candidate is invited to a verification, we may collect:
- Name, email, and phone number
- Resume
- Skills and experience details
- Assessment responses
- Interview responses and AI interview transcripts
- Voice recordings
- Video recordings, where video verification is enabled
- Screen recordings, where screen-based assessments are enabled
- Assessment scores and skill verification reports
From organizations using Record, we collect:
- Company details, such as name and business address
- Recruiter and admin contact details
- API credentials
- Billing information
- Usage information, such as how the platform and its features are used
When you use Record, we automatically collect:
- Device information, such as device type and operating system
- Browser information
- IP address
- Session logs
- API logs
- Error logs
Record’s dashboard and website may use cookies and similar technologies to keep you signed in, remember preferences, and understand how the platform is used. During this pilot, we use only functional and analytics cookies. We do not use cookies for advertising. 8. How We Use Your Information
We use the information described above to:
- Perform skill verification
- Generate AI-powered skill verification reports
- Improve platform quality and reliability
- Detect fraud, cheating, or misuse during a verification
- Maintain platform and account security
- Provide customer support
- Improve our AI models, where we have permission to do so
- Comply with legal obligations
Record uses artificial intelligence to ask verification questions, evaluate Candidate responses, and generate scores. This includes automated evaluation of text, voice, and video responses depending on the verification method selected by the Enterprise Customer. AI-generated scores are intended to assist Enterprise Customers in their hiring process and are not the sole basis for any hiring decision. Where required by applicable law, Candidates have the right to know that automated evaluation is used and to seek meaningful information about the logic involved. 10. Voice, Video, and Screen Recording
Where a verification involves a voice call, video interview, or screen-based activity, Record records this with the Candidate’s consent, obtained before the verification begins. These recordings are used to generate the verification report, support quality checks, and improve the accuracy of our AI models. Recordings are shared only with the Enterprise Customer who requested the verification, and are not used for any unrelated purpose. 11. Sharing of Information
We share personal information only as needed to operate Record:
- With the Enterprise Customer who requested the verification, so they can review the report and make a hiring decision
- With trusted service providers who help us run the platform, described in Section 12
- Where required by law, regulation, or a valid legal process
- In connection with a merger, acquisition, or sale of assets, with the same protections carried forward
We work with trusted service providers to deliver Record, including providers for:
- Cloud hosting and infrastructure
- AI model processing
- Email delivery
- SMS and WhatsApp message delivery
- Analytics
- Customer support tooling
- Monitoring and logging
Record’s infrastructure is hosted on established cloud providers, with data stored in cloud infrastructure and databases operated by our infrastructure providers. During this pilot, storage locations and regions are being finalized with our compliance team and will be confirmed here once decided. 14. Data Security
We apply industry-standard security practices to protect personal information, including access controls, encryption in transit, and hashed storage of sensitive credentials such as API secret keys. As this is a pilot, some security processes are still being formalized, and we cannot guarantee that the service will be completely free of error or interruption. We will continue strengthening these measures as Record matures. 15. Data Retention
We retain personal information for as long as needed to deliver the verification service and support the Enterprise Customer relationship, and as required to meet legal obligations. During this pilot, specific retention periods for different data types, such as recordings versus transcripts versus reports, are being finalized with our compliance team and will be published here once confirmed. 16. Data Deletion
Candidates and Enterprise Customers can request deletion of personal information by contacting us using the details in Section 23. We will act on valid deletion requests, except where we are required to retain certain information for legal, security, or legitimate business reasons, in which case we will explain why. 17. Your Privacy Rights
Depending on applicable law, you may have the right to:
- Request access to the personal information we hold about you
- Request correction of inaccurate information
- Request deletion of your information
- Withdraw consent, where our processing is based on consent
- Raise a privacy concern or complaint with us directly
Candidates can contact Record directly, even though they were invited by an Enterprise Customer, to ask what information we hold, request a correction, or ask for deletion. We will coordinate with the relevant Enterprise Customer where needed, since verification reports are shared with them as part of the hiring process. 19. Enterprise Customer Rights
Enterprise Customers can access, export, or request deletion of their account data and usage information by contacting us, subject to any data we are required to retain for legal, billing, or security reasons. 20. Children’s Privacy
Record is not intended for anyone under 18 years of age. We do not knowingly collect personal information from individuals under 18. If we learn that we have done so, we will delete that information. 21. International Data Transfers
Record’s infrastructure providers may process data in locations outside India. Where this happens, we take steps to ensure the data continues to receive an appropriate level of protection, consistent with applicable law. Specific transfer details are being finalized during this pilot and will be updated here. 22. Updates to this Privacy Policy
We may update this Privacy Policy as the pilot progresses and as our practices are finalized with our legal and compliance team. If we make a significant change, we will notify Enterprise Customers and, where practical, Candidates before it takes effect. 23. Contact Information
