1. Introduction

Record Technology Labs is committed to protecting the privacy of every individual who uses our Platform. This Privacy Policy explains what information we collect, how we use it, how long we retain it, who we share it with, and how we protect it. This Policy applies to all users of the Platform, including candidates who verify their skills, verifiers who endorse skills, recruiters and businesses who access verified skill data, and API integration partners who build on Record’s infrastructure. Where the Platform is accessed through a third-party job board or staffing platform that has integrated Record’s technology, this Policy applies to you from the moment your data is shared with Record as part of the account creation process. By using the Platform, you acknowledge that you have read and understood this Privacy Policy. If you do not agree with the practices described in this Policy, you must not use the Platform. 2. Information We Collect

We collect information in the following categories depending on how you interact with the Platform. 2.1 Account and Identity Information When you register on the Platform directly, we collect your full name, email address, and phone number. If you choose to sign in using Google authentication, we collect the information made available through that authentication process, including your name and email address. Where your account is created automatically through a job board or staffing platform integration, we collect your name and registered email address as shared by that platform at the time you initiate the skill verification flow. 2.2 Professional and Skill Information To enable skill verification, we collect the skills you add to your profile, the sources you map to those skills including work experience, projects, and certifications, any descriptions or context you provide for those sources, and any proof or portfolio links you attach to your verification requests. 2.3 Information Received from Job Board and Platform Integrations When you initiate skill verification through a job board or staffing platform that has integrated Record’s API, that platform shares certain profile information with Record to create your Skill Vault account. The information received may include your registered email address on that platform, your full name, your work experience and employment history stored on that platform, your listed projects and certifications, and any other professional profile data that the integrated platform shares as part of the skill verification initiation. This information is received only when you actively initiate the skill verification flow on the integrated platform. It is used solely to set up and populate your Record Skill Vault account and to enable the skill verification workflow. You are informed of this data sharing through the consent mechanism presented on the integrated platform at the time of initiating verification. 2.4 Verification Data When a verification is initiated or completed on the Platform, we collect and store the endorsement type selected and the verifier details provided by the candidate, the verifier’s response including approval or rejection of each skill, assessment scores, attempt details, proctoring signals, and completion timestamps, the trust level assigned to each verified skill and source combination, and the unique Verification ID associated with each verification record. 2.5 Connected Account Information When you use the Connected Accounts feature to link additional email addresses to your Skill Wallet, we collect and store those email addresses, the one-time password verification confirmation for each linked address, and the platforms those email addresses are associated with, for the purpose of aggregating your verified skills across identities. 2.6 Verifier Information When a candidate submits a verification request, we collect the verifier’s name, work email address, company name, and relationship to the candidate as provided by the candidate. We also collect and store the verifier’s response to the endorsement request, including which skills were approved and which were marked as not confirmed. 2.7 Usage and Technical Data We may collect technical information such as your device type, browser type, IP address, session data, login timestamps, and usage patterns within the Platform. This information is used to maintain platform security, improve user experience, detect misuse, and monitor system performance. 2.8 API and Integration Partner Data For businesses and API integration partners, we collect organization name and administrator details, billing information and payment records, API key usage data, and workflow performance metrics including request volumes and completion rates. This data is used to manage the integration, process payments, and provide usage insights through the Record Playground dashboard.

3. How We Use Your Information

We use the information we collect for the following purposes. To create and manage your account on the Platform, whether registered directly or created automatically through a job board integration. To enable and facilitate the skill verification process, including sending endorsement requests to verifiers and conducting AI-based proctored assessments. To store verified skill records in the Skill Vault and make them accessible through the Record Skill Wallet. To generate trust signals and structured verification data that can be shared with recruiters or platforms as authorized by you. To consolidate verified skills from multiple email identities through the Connected Accounts feature. To process billing and manage API access for integration partners. To communicate with you regarding your account, verification status, platform updates, and any changes to these policies. To detect, investigate, and prevent fraud, misuse, or violations of our Terms of Service. To improve the Platform’s functionality, performance, and overall user experience. To comply with applicable legal obligations. Where applicable under data protection law, we process your personal information on the following legal bases. Your consent, where explicitly provided, such as when you initiate skill verification on an integrated job board and agree to your profile data being shared with Record, when you connect a new email account to your Skill Wallet, or when you authorize sharing of your verified skill data with a recruiter or employer. The performance of a contract, where processing is necessary to provide the services you have signed up for, including creating your account, storing your verified skills, and enabling the verification workflow. Legitimate interests, where processing is necessary to maintain platform integrity, prevent fraud, improve our services, and ensure the trust level system functions accurately and reliably. Legal obligations, where we are required to process or retain data under applicable law, including financial regulations and data protection requirements.

5. How We Share Your Information

Record Technology Labs does not sell your personal information to any third party under any circumstances. We may share your information in the following limited and specific situations. With Verifiers When you initiate a skill endorsement request, we share the relevant skill details, mapped source, your professional context, and your name with the verifier you have designated. The verifier’s response to your request is recorded and stored as part of your permanent verification record. With Recruiters and Employers Your verified skill data is shared with recruiters, employers, or third-party platforms only when you have explicitly authorized such sharing. The scope of data shared is limited to what is necessary for the purpose of evaluation or hiring and does not include information beyond your verified skill profile unless you choose to share more. With API Integration Partners Platforms that integrate Record’s API have access to verification outcomes and skill data for users who have initiated verification through their platform. This access is governed by the integration agreement between Record and the partner platform and by these Terms. Integration partners are prohibited from using this data for purposes outside of enabling skill verification for their users. From API Integration Partners to Record When you initiate skill verification on a job board or platform integrated with Record, that platform transfers your profile data to Record as described in Section 2.3. This transfer is governed by the integration agreement between Record and the partner platform and is initiated only upon your explicit action of clicking to verify your skills on that platform. Record processes this received data strictly for the purpose of creating and maintaining your Skill Vault account and enabling the skill verification workflow. For Legal Compliance We may disclose your information when required to do so by applicable law, court order, regulatory authority, or government request. Where permitted, we will notify you of such a requirement before disclosing your information.

6. Verifier Data Usage

Verifier information collected as part of an endorsement request is used solely for the purpose of sending the verification request, recording the endorsement response, and storing it as part of the candidate’s permanent verification record. Verifier email addresses, names, and company details are not used for marketing, promotional communication, newsletters, or any purpose unrelated to the specific verification record they are associated with. 7. Data Storage and Security

All data on the Platform is stored in a structured and standardized format. We implement industry-standard security practices to protect your information, which include encryption of data in transit using secure protocols, encryption of sensitive data at rest, access controls that restrict data access to authorized personnel only, regular security audits and vulnerability assessments, session management and multi-factor authentication controls, and monitoring systems to detect and respond to suspicious activity. While we take all reasonable and appropriate steps to protect your information, no technology system is entirely immune to risk. You are responsible for maintaining the security of your account credentials and must notify us immediately at support@userecord.io if you suspect any unauthorized access to your account.

8. Data Retention

We retain your personal information and verification records for as long as your account is active or as required to fulfill the purposes described in this Policy. Verification records, including both approved and rejected endorsement responses and assessment outcomes, are retained permanently to maintain the integrity of the trust level system and to prevent manipulation of verification history. These records form a permanent part of the skill verification infrastructure and cannot be deleted on an individual basis once recorded. If you delete your account, we will remove your personal profile data including your name, phone number, and account credentials. However, anonymized or de-identified verification metadata may be retained for system integrity, fraud prevention, and platform improvement purposes. Connected account email addresses are retained for as long as they remain linked to your Skill Wallet. Upon disconnection, future syncing from that address ceases, but previously synced records remain unless a separate deletion request is submitted. API partner usage data and billing records are retained in accordance with applicable financial, accounting, and legal requirements, which may require retention for a period beyond account closure.

9. Your Rights and Controls

Depending on your location and applicable law, you may have the following rights regarding your personal information. The right to access the personal information we hold about you and to receive a copy of it in a structured format. The right to correct inaccurate or incomplete information in your account. The right to request deletion of your account and associated personal data, subject to the retention requirements described in Section 8. The right to withdraw consent for specific data processing activities where consent was the legal basis, without affecting the lawfulness of processing carried out before withdrawal. The right to request that we restrict processing of your data in certain circumstances, such as where you contest the accuracy of the data. The right to data portability, where applicable, allowing you to receive your verified skill data in a format that can be transferred to another service. To exercise any of these rights, please contact us at support@userecord.io. We will acknowledge your request promptly and respond within a reasonable timeframe in accordance with applicable law. We may ask you to verify your identity before processing certain requests to protect the security of your account.

10. Connected Accounts and Multi-Identity Data

The Connected Accounts feature allows you to link multiple email addresses to your Skill Wallet so that verified skills across different job platforms consolidate into one place. Each email address you connect is verified through a one-time password before it is linked to your Skill Wallet. Skills verified under a connected email will automatically appear in your Skill Wallet regardless of which platform the verification was initiated through. Disconnecting an email address will stop future skill syncing from that identity. Previously synced verified skill records will remain in your Wallet unless you submit a separate request for their removal to support@userecord.io. Record does not automatically delete previously consolidated skill records upon disconnection of an email address as these records form part of your verified skill history.

11. Cookies and Tracking Technologies

We use cookies and similar tracking technologies on the Platform for the following purposes. To maintain your session and authentication state so you remain logged in during your visit. To remember your preferences and interface settings. To analyze usage patterns and improve Platform performance and reliability. To detect and prevent suspicious or unauthorized activity. To support secure API sessions for integration partners. You may control cookie preferences through your browser settings. Please note that disabling certain cookies may affect the functionality of the Platform, including the ability to remain logged in or access certain features. We do not use cookies for advertising or for tracking your activity across unrelated third-party websites.

12. Third-Party Services

The Platform may use third-party services for authentication, cloud hosting, analytics, payment processing, or communication. These third-party services operate under their own privacy policies governing the use of information shared with them. Record takes reasonable steps to ensure that third-party services used on the Platform meet adequate data protection and security standards. Record is not responsible for the independent privacy practices of third-party services beyond what is governed by our agreements with them.

13. Children’s Privacy

The Platform is not intended for use by individuals under the age of 18. We do not knowingly collect personal information from minors. If we become aware that a minor has created an account, submitted personal information, or had an account created on their behalf through a job board integration, we will take prompt steps to delete that information and close the account. 14. Changes to This Privacy Policy

Record Technology Labs may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or the scope of our services. When changes are made, the updated Policy will be posted on the Platform with a revised effective date. Continued use of the Platform after the updated Policy is posted constitutes your acceptance of the changes. Where changes are material, we will make reasonable efforts to notify you directly through the Platform or via your registered email address before the changes take effect.
